Registration

Everyone attending the meeting needs to register for the conference, including oral presenters, poster presenters, keynote speakers, and other participants. Early-bird registration and abstract submission are now open. The deadline for abstract submissions is 15 August 2025. Late registration will be effective starting 2 August 2025.

Early-bird registration will be effective until 1 August 2025: Student member of CHS ($100), Student non member of CHS ($125), Non student member of CHS ($150), Non student member of CHS ($200). Late registration rates will be effective starting on 2 August 2025: Student member of CHS ($150), Student non member of CHS ($175), Non student member of CHS ($200), Non student member of CHS ($250). Program

The conference is in-person and no talks will be available online nor recorded during the meeting. All activities will take place in rooms of the Abitibi-Price and Kruger buildings, except the banquet and field trips. The meeting includes workshops, keynote talks, contributed talks (12 minutes, 5 minutes), and a dedicated poster session. The program is available here.

Specific instructions for presenters (talks)

  • Participants can submit an abstract for either a 12 minute presentation (+ 3 minutes for questions) or a 5 minute flash talk. Note that there is no time for questions at the end of the flash talks. Flash talks are ideal to present work in progress and stimulate discussions during breaks. Presentations of 12 minutes should present results.
  • Abstracts submitted for 12-minute talks but without results will be moved to either a 5-minute flash talk or a poster based on the presenter's preference.
  • The only file types allowed for presentations are PDF (.pdf) and Microsoft PowerPoint (.ppt, .pptx). Presenters will use the dedicated computer in the meeting rooms. Presentations requiring other software or websites will not be accepted.
  • Presentations in either English or French are welcome. If possible, a presentation in one language with slides in the other language would be appreciated.
  • Presenters should arrive at least 15 minutes before the start of their session and introduce themselves to the moderator of the session. Presenters should also check that their presentation is on the computer of conference the room.

Instructions for posters

Participants can submit an abstract to present during the poster session.

  • Posters should be in a portrait layout with maximum dimensions of 36 inches wide x 48 inches high (90 cm x 120 cm).
  • Panels, velcro, and adhesive to attach posters will be available on site.
  • Many reptile and amphibian species in Canada are at risk of poaching. Keep location information at a broader level than someone would be able to find publicly available online.

Code of conduct

The Canadian Herpetological Society (CHS) and the 2025 CHS meeting organizers are committed to providing a safe, productive and welcoming environment that fosters open dialogue and the exchange of ideas, promotes equitable treatment of all participants, and is free of discrimination and harassment. All attendees, speakers, sponsors and volunteers at our conference are required to adhere to the CHS code of conduct. Organisers will enforce this code throughout the event. We expect cooperation from all participants to help ensure a safe environment for everybody.

  • Our conference is dedicated to providing a harassment-free conference experience for everyone, regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion (or lack thereof), or technology choices. We do not tolerate harassment of conference participants in any form. Sexual language and imagery is not appropriate for any conference venue, including talks, poster comments sections, conference related emails, Twitter and other online media. Conference participants violating these rules may be sanctioned or expelled from the conference at the discretion of the conference organizers.
  • If you are being harassed, notice that someone else is being harassed, or have any other concerns, please reach out to conference organizers immediately at marc.mazerolle@sbf.ulaval.ca or alert any other member of the organizing committee. We will be happy to help participants experiencing harassment to feel safe for the duration of the conference. Please do not hesitate to reach out.
