Registration
Everyone attending the meeting needs to register for the conference, including oral presenters, poster presenters, keynote speakers, and other participants. Early-bird registration closed on 1 August 2025. Late registration is now effective. The deadline for abstract submissions was 15 August 2025.

Late registration rates are now effective: Student member of CHS ($150), Student non member of CHS ($175), Non student member of CHS ($200), Non student member of CHS ($250). You can register for the meeting here.
Moving around campus
Université Laval is the first French-language university to be founded in North America. With over 40 000 students, it boasts one of the biggest campuses in the province of Québec.
All activities during the meeting, except the banquet and field trips, will take place at the Faculté de foresterie, de géographie et de géomatique de l'Université Laval (see map of Abitibi-Price and Kruger buildings). The two buildings are connected via a walkway. You can access the Abitibi-Price building through the large wooden doors on rue de la Terrasse:
The registration desk is located in the Abitibi-Price cafeteria. The conference rooms (ABP-1111, ABP-1160) are on the main floor in the vicinity of the registration area. The silent auction will take place in room GHK-1324 of the G.-H.-Kruger building from 9:00 Saturday until noon on Sunday. Room GHK-1340 is available for people who want to practice their talk. A room is also available for mothers to breastfeed their child. Please contact the local organizing committee for additional details. The banquet will be held in room LAU-1334 of the La Laurentienne building, approximately a 12 minute walk from the Abitibi-Price building.
Internet
Free internet access is available throughout the campus of Université Laval. Choose the "UL_Visiteur_Guest" network. The Eduroam network is also available, but requires configuring your account from your home institution before accessing the network outside of your university.
Parking
Since 1 September 2025, parking on campus is not free, including weekends. It is possible to pay parking fees at the designated terminals, identified by a green P on this map. Another option is to pay through the Copilote+ app for smartphones. This app allows to pay parking anywhere on the Quebec city territory. The app requires creating and configuring an account with your information before first use. When using the app to pay for parking on the Université Laval campus, you should select "ULaval (zone 9423)" for the city and "9423" as the parking zone.
In case of emergency
In case of emergency, participants should inform local organizers immediately. Campus security can be reached at 1-(418)-656-5555 on your phone, through extension 555 on phones in conference rooms, or by using the red phones around campus which have a direct line to security. In case of emergency related to potential loss of life, call 911.
Program
The conference is in-person and no talks will be available online nor recorded during the meeting. All activities will take place in rooms of the Abitibi-Price and Kruger buildings, except the banquet and field trips. The meeting includes workshops, keynote talks, contributed talks (12 minutes, 5 minutes), and a dedicated poster session. Specific instructions for presenters (talks)
- Participants could submit an abstract for either a 12 minute presentation (+ 3 minutes for questions) or a 5 minute flash talk. Note that there is no time for questions at the end of the flash talks. Flash talks are ideal to present work in progress and stimulate discussions during breaks. Presentations of 12 minutes should present results.
- Abstracts submitted for 12-minute talks but without results were moved to either a 5-minute flash talk or a poster based on the presenter's preference.
- The only file types allowed for presentations are PDF (.pdf) and Microsoft PowerPoint (.ppt, .pptx). Presenters will use the dedicated computer in the meeting rooms. Presentations requiring other software or websites will not be accepted.
- Speakers should upload their talks using the GoogleDrive link provided to them by email or bring a USB key to transfer their presentation when checking-in at the registration desk.
- Presentations in either English or French are welcome. If possible, a presentation in one language with slides in the other language would be appreciated.
- Presenters should arrive at least 15 minutes before the start of their session and introduce themselves to the moderator of the session. Presenters should also check that their presentation is on the computer of conference the room.
Instructions for posters
Abstract submission is now closed.
- Posters should be in a portrait layout with maximum dimensions of 36 inches wide x 48 inches high (90 cm x 120 cm).
- Panels, velcro, and adhesive to attach posters will be available on site.
- Many reptile and amphibian species in Canada are at risk of poaching. Keep location information at a broader level than someone would be able to find publicly available online.
Code of conduct
The Canadian Herpetological Society (CHS) and the 2025 CHS meeting organizers are committed to providing a safe, productive and welcoming environment that fosters open dialogue and the exchange of ideas, promotes equitable treatment of all participants, and is free of discrimination and harassment. All attendees, speakers, sponsors and volunteers at our conference are required to adhere to the CHS code of conduct. Organisers will enforce this code throughout the event. We expect cooperation from all participants to help ensure a safe environment for everybody.
- Our conference is dedicated to providing a harassment-free conference experience for everyone, regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion (or lack thereof), or technology choices. We do not tolerate harassment of conference participants in any form. Sexual language and imagery is not appropriate for any conference venue, including talks, poster comments sections, conference related emails, Twitter and other online media. Conference participants violating these rules may be sanctioned or expelled from the conference at the discretion of the conference organizers.
